1. JOB NUMBER

To set up your first Job Number in the system type a prefix of letters with a starting number (ie: ABC-17001). The job number will automatically generate based on the next available number in the system thereafter. You can always modify/edit the job number field. Note: A number prefix will not work if you want the system to automatically generate the next available job number (i.e. 2017-0001).

2. SUBJECT PROPERTY

Select a property record from the pull down menu if the property already exists in the properties
database. Enter the address or name of the property into the search box to narrow the results that show up in the pull down menu. If the property does not exist in the properties database then select New which will open a new window where you can create the property record. Save the property record, then save the job record and it will automatically select the new property record as the subject property.

3. PROPERTY CONTACT & CLIENT

Select a client record from the pull down menu if the client already exists in the contacts
database. Enter the name of the client into the search box to narrow the results that show up
in the pull down menu. If the client does not exist in the client database then select New which
will open a new window where you can create the contact record. Save the contact record, then save the job record and it will automatically select the new contact record as the client.

4. STATUS

Select the Status appropriate to your appraisal job.  Options include: Canceled, Closed, Draft, E-Delivered, Lead, On Hold, Open, Unknown. The status Closed will remove the job from showing up on the dashboard.

5. FEE & RETAINER

Enter the full Fee amount for the job. If the job has a retainer amount then enter the total Retainer amount. The Fee total will show up in the invoice.

6. AMOUNT PAID

Enter the Amount Paid by the client. If the client has paid a retainer - be sure to enter that as Amount Paid as well. The invoice will deduct the Amount Paid from the Fee to show the remaining balance.

7. DATES

The Due Date for the job will determine where the job shows up on the calendar on the dashboard. The Invoice Date will determine when the job is shown on the trailing 12 months of billing history graph on the dashboard.

8. REPORT

Select the various report options for the appraisal job per the Engagement Letter or Professional Services Agreement.

9. STAFF

Select the staff and role for who will be working on the appraisal job.

10. COMMENTS

Enter Comments specific to the Client, Delivery, Payment or General comments in the boxes. Payment comments will show up on the expanded Appraisal Job CSV Export.

11. LINKED COMPARABLES

When you link comparables from the database to the Appraisal Job Record, those comps then show up under the heading matching their comp type. You can link: Improved Sales, Land Sales, Leases, Surveys, and Expense Comparables.

 

12. SETS

New sets can be created by selecting New Set at the top of the Appraisal Job Record. This will open a new window where you can create a set of comparables. Note that you will need to link comparables to the Appraisal Job Record prior to being able to create a set.

13. ATTACHMENTS

Select Add Files at the top of the Appraisal Job Record to upload an Attachment to the job. There is no limit on the amount of files you can upload at a single time. Files can be photos, documents, workbooks, or any other file you want to save to the Appraisal Job Record.

14. EXPORT DOCUMENT

Push information from the Appraisal Job Record into customized Microsoft Word documents by
selecting Export Document then select a document template from the pull down menu and select Export. You can modify and edit the Microsoft Word document and save to PDF to send to your client.

An example Invoice is shown to the right. Your Microsoft Word document template can be completely customized with your company logo and branding in addition to any content you would like shown.

B. PROFESSIONAL SERVICE AGREEMENT

An example Professional Service Agreement is shown to the right. Your Microsoft Word document template can be completely customized with your company logo and branding in addition to any content you would like shown.

C. OTHER

You can have any other Microsoft Word document template of your choice to push Appraisal Job Record information into via the Export Document menu option.
