Overview
AI Import is an AI-powered document extraction workflow built directly into Valcre Online. It reads Comp Lists, Lease Documents, and Offering Memoranda and extracts the data into Valcre, so you spend less time on manual re-entry and more time on analysis.
A task that previously took 30+ minutes of field-by-field data entry can take under 5 minutes with AI Import. Every extracted record is reviewed side-by-side with the original source document before anything is written to your database, giving you full control and an auditable link between the data in Valcre and the document it came from.
AI Import eliminates the most time-consuming, error-prone step in the appraisal data workflow. Here is what makes it different:
Dramatically faster data entry. What used to take 30+ minutes of manual re-keying is now a quick review-and-import workflow.
Review before anything is written to your database. Every extracted field is presented for your review before it touches Valcre. Nothing auto-imports without your confirmation.
Side-by-side source validation. The original document is displayed alongside extracted data with source highlighting, so you can verify exactly where each value was pulled from without switching windows.
Auditable by design. Source highlighting supports defensibility in appraisal reviews and reports. The original document is automatically saved to the Property's Files tab on import, creating a persistent link between your data and its source.
Purpose-built for CRE appraisal. AI Import is calibrated to Valcre's data model and CRE document conventions, not a generic extraction layer. It handles variability across broker sheets, comp exports, and lease formats without requiring you to reformat documents before uploading.
Privacy-safe. Document processing happens inside the secure Valcre platform. Your documents are not stored after processing is complete and are not shared with third-party systems or used to train public models.
Integrated, not bolted on. Available directly from your existing Valcre workflow. No new logins, no separate tools, no copy/paste between platforms.
How It Works
AI Import follows a three-step flow. Nothing is committed to your Valcre database until you confirm at Step 3.
1. Upload
Drag and drop or select a file (PDF, Excel, or CSV). Valcre automatically classifies the document type and begins processing.
A progress bar tracks document processing, and you can navigate away freely. The bell notification in the top-right corner will alert you when your session is ready for review.
2. Review
Your extracted fields appear on the left alongside the original source document on the right, with highlights showing where each value was pulled from.
Edit values inline, resolve any flagged validation issues, and map any unmapped columns before proceeding. Nothing has been written to Valcre yet.
3. Import
Review a field-by-field comparison of new extracted values against current Valcre values.
Choose to create a new Property record or update an existing one. Select which records to include, then confirm.
A summary page with links to every record created or updated is displayed after import.
Note:There is no undo or rollback after an import is completed. Review carefully before confirming at Step 3.
Supported Document Types
AI Import is calibrated for the following document categories. Accepted file formats are PDF, Excel (.xlsx), and CSV. Files must be under 85 pages and 25 MB. Results on document types outside this list may vary.
Lease records, Sale records, or both, depending on document contents. Mixed lists produce both record types in one session. Multi-property formats are grouped by property automatically, with no reformatting required.

Automatic Document Classification
AI Import automatically identifies the document category. You do not need to specify what type of document you are uploading before extraction begins.
Side-by-Side Source Document Review
The Review page splits into two panes: extracted data on the left, and your original source document on the right. Extracted fields are highlighted directly in the document preview, so you can validate each value against its exact source location without leaving Valcre.
Inline Editing
All extracted field values are directly editable during Review. Edited cells are highlighted in green so you can clearly see what has been changed from the original extracted value. Changes can be reverted cell by cell or all at once.
Column Mapping
Extracted tables display mapped columns in green and unmapped columns in yellow. Unmapped columns are excluded from the import by default. If you want that data included, click the column header to open the field mapping dropdown and assign it to a Valcre field. The full Valcre field picker lets you map to any field across the platform.
Calculated Fields
Where a source document contains fields that don't map directly to Valcre's data model, AI Import automatically calculates and surfaces a derived field. For example, if a document contains Lease Start Date and Lease End Date, AI Import calculates Term Length, since that is the field Valcre stores.
Multi-Property Document Support
Documents containing multiple properties (such as a flat-table comp export where multiple properties and their comparables appear as rows) are handled automatically. AI Import detects and groups records by property, presenting each group separately in the Import screen with its own checklist of child records.
Record Matching
At the Import stage, use Find Property to search your existing Valcre records and update an existing property rather than creating a new one. The Review Import window displays a side-by-side comparison of newly extracted values against current Valcre values for the selected record.
Source Document Saves to Property
By default, the uploaded source document is automatically saved to the Files tab of the target Property record on import. This creates a link between the imported data and the document it came from. This behavior can be turned off with a checkbox on the Import screen.
Post-Import Confirmation
After a successful import, a confirmation page displays links to every object and record created during the session. Imported records appear immediately across Valcre.
Frequently Asked Questions
Q: What if AI Import extracts something incorrectly?
Nothing is written to Valcre until you confirm it. Every extracted field is shown in the Review stage alongside its highlighted source location. Incorrect values can be edited inline or unchecked entirely before import.
Q: Can I undo an import?
There is no undo after the import is completed. That is why AI Import includes two full review checkpoints (the Review stage and the Import stage) before anything is written to your database. If an incorrect value is imported, the affected record will need to be manually edited afterward.
Q: Does AI Import work with scanned PDFs?
Yes, AI Import uses OCR to process scanned documents. However, low-resolution or skewed scans may produce less accurate extraction and require more manual correction during Review. A native PDF will always produce the most reliable results.
Q: What happens to my document after processing?
Your document is not retained by Valcre after processing is complete. If you have Save original document to Property checked at the Import stage (the default), a copy is saved to the Property's Files tab in your Valcre database for your own reference.
Q: Is AI Import the same as using ChatGPT or another AI tool to extract data?
AI Import is purpose-built for Valcre's data model and the CRE appraisal workflow. Unlike consumer AI tools, it is integrated directly into Valcre: there is no copy/paste, no switching platforms, and no re-entry required. Document processing happens inside Valcre's secure environment, not a third-party consumer platform.
Q: Is there a limit on how many files I can upload at once?
AI Import currently only processes one file per session.
Q: Does AI Import work with my multifamily rent rolls?
Commercial rent rolls work well with AI Import and produce Lease records. Per-unit multifamily rent rolls are not currently supported.
