Valcre Online: User Management

This guide provides step-by-step instructions for adding, disabling, re-enabling, and deleting users in Valcre Online.

 

Prerequisites 

  1. Subscription Tier: Available for all active Valcre subscriptions
  2. Permissions Required:

    • Office Manager: Manage users for the assigned office.

    • Organization Manager: Manage users for all offices within the organization.

    • Note: User Management may require contacting your Client Success Manager at Valcre due to needing to add additional seats to your Valcre subscription. For all questions regarding adding/removing users or enabling this permission for you or your office, please connect with your Client Success Manager at Valcre.

How-to Guide

Add Users

Step 1: Log into Valcre Online 

Step 2: Select Administration from the left-side menu

Step 3:  Select Manage Users

Step 4: Select Add User

Step 5: Enter the required user details (Email Address, First Name, and Last Name). Additional details can be updated by the user upon signing in.

Step 6: Select Permissions from the top menu and select the permissions you would like them to have within the office/organization. Then select Save.

 

 

 

The new user will receive an email from Valcre.com prompting them to reset their password. If they do not receive the email, please have them check their spam or junk folder. Snag_35e086b.png

Permission Cheat Sheet

Enable Account Allows the user to sign in and use Valcre. Disabling the account prevents access while retaining historical work.
Office Specifies the user's assigned office.
Is Organization administrator Grants full access to manage all offices and users.
Is Office manager Grants access to manage users within the assigned office.
Can import property records Allows importing property records using standard tools.
Can add/edit records Enables adding new records and modifying existing ones.
Can view jobs, sets, and contacts

Grants access to job-related functions, including the dashboard. If this is disabled, the user will not see the Dashboard and other job-related functionality.

Can see fees for other users’ jobs

Allows viewing job fees assigned to other users. If this is disabled, the fees are hidden or show zero. Note that this does not prevent users from assigning themselves to a job to see its fees.

Can export records

Allows the user to export records to data formats like CSV. Datasheets and custom exports are still available.

Can use Office templates

Grants access Valcre’s Office features in Word and Excel. If it is disabled, the user cannot sign in to the Valcre Office Add-Ins or see Office-related downloads on the Downloads page.

Can manage custom fields

Allows the user to access the Custom Fields administration page and can add/edit/delete custom fields. Unless they are Organization Administrators, they can only access custom fields in their current office.

 

  • Note that your permissions view may differ based on the permissions assigned at your organization level. Please contact our support team if you have additional questions about permission settings. 

 

Disable Users

Step 1: Log into Valcre Online 

Step 2: Select Administration from the left-side menu

Step 3:  Select Manage Users

Step 4: Use the filters to find the user, then select Open next to their name.

 

Step 5: Select Permissions from the top menu.

 

Step 6: De-select Enable account and select Save.

Result: The user will no longer be able to sign in, but their historical data will remain accessible.

 



Re-Enable Users

Step 1: Log into Valcre Online 

Step 2: Select Administration from the left-side menu

Step 3:  Select Manage Users

Step 4: Use the filters to find the disabled user, then select Open next to their name.

Step 5: Select Permissions from the top menu.

Step 6: Select Enable account and then select Save.

Result: The user will regain access to Valcre.

Delete Users

Warning: Deleting users is not recommended, as it permanently removes their historical job data.

  • Alternative: Instead of deleting users, consider disabling them to retain their historical records while preventing account access.
